Parent & Professional Portal — Terms of Use

1. Who we are
The portal is operated by Ready (ICT) Ltd, trading as Player Ready (company no. 13946359, registered office 483 Green Lanes, London, N13 4BS; VAT GB 444 7919 60; ICO registration C1421348). Contact: accounts@player-ready.co.uk.
2. What the portal is for
The portal lets parents, carers and referring professionals view session and attendance information, manage club bookings, view invoices, and make or manage payments for Player Ready services. Access is by personal sign-in link sent to your registered email address — don't share these links; each one signs in as you.
3. Payments
Card and Direct Debit payments are processed by Stripe on our behalf — we never see or store your full card number. If you choose to save a payment method, set up automatic payments, or agree an instalment plan, you authorise us to collect the amounts shown in the portal on the dates shown, using Stripe, until you cancel in the portal or tell us in writing. Direct Debit payments are protected by the Direct Debit Guarantee. Receipts and your full payment history (including refunds) are available in the portal at any time.
4. Tax-Free Childcare and HMRC data sharing
If you choose to pay using Tax-Free Childcare (TFC), you can link your government TFC account to the portal. When you do, and each time you make or we process a TFC payment, we exchange the information needed to operate the scheme with HM Revenue & Customs (HMRC) and National Savings & Investments (NS&I), who run TFC accounts. That information includes your child's name and date of birth, your TFC payment reference, our childcare provider registration details, and payment amounts and dates. We act as a registered childcare provider and external payment provider under the scheme, and we only use this data to request, receive and reconcile TFC payments — never for marketing. You authorise each payment yourself through your Government Gateway sign-in; we cannot move money from your TFC account without that authorisation. If you'd rather not link your account, you can still pay by TFC manually and record the payment reference in the portal.
5. Childcare vouchers and other schemes
Where you pay through a voucher provider (such as Edenred, Computershare or KiddiVouchers) or by bank transfer, we use the reference you give us solely to match your payment to your invoice.
6. Your data
How we collect, store and protect personal data — including children's data — is set out in our Privacy Policy, which forms part of these terms. In short: we hold the data needed to deliver and bill for our services, we share it only with the processors named above (Stripe, HMRC/NS&I, voucher providers) and our accounting and safeguarding systems, and you can contact us at any time about your data.
7. Sensible things
Keep your email account secure, since it receives your sign-in links. Tell us promptly if anything in the portal looks wrong — invoices, payments, attendance — via the portal's query buttons or accounts@player-ready.co.uk. We may update these terms; we'll show the date below and flag significant changes in the portal.
