Terms & Conditions

These terms and conditions govern your use of Player Ready services, including VR experiences, coding and gaming clubs, and alternative provision (AP) educational services operated by Ready (ICT) Ltd (Company No. 13946359), registered in England & Wales.

By booking, attending or using any of our services, you agree to be bound by these terms. If you do not agree, please do not use our services.

Booking & Payment: VR experience bookings must be paid for at the time of booking unless otherwise agreed. Walk-in sessions are subject to availability.

Age Requirements: Certain VR experiences have minimum age requirements. Children under 12 must be accompanied by a responsible adult. Staff reserve the right to refuse access if age requirements are not met.

Health & Safety: Participants must follow all safety instructions provided by staff. VR experiences may cause motion sickness in some individuals. If you have epilepsy, heart conditions, or are pregnant, please consult your doctor before participating. You participate at your own risk.

Cancellations & Refunds: Cancellations made more than 24 hours before the booked session are eligible for a full refund or credit. Cancellations within 24 hours may be offered a credit at our discretion. No-shows are not eligible for refunds.

Late Arrivals: Sessions start at the booked time. Late arrivals may have their session time reduced. We are unable to extend sessions due to late arrival.

Our coding and Minecraft clubs, holiday clubs and self-funded or funded Alternative Provision (AP) are covered by our Parent Terms & Conditions (version 1.3.2), effective 1 November 2026. The short version is below. The full terms are the ones that apply.

Clubs

• Membership £21 a session. A guaranteed weekly place. Every session we run is charged, even if your child doesn't come. It is not a fixed monthly charge.
• Pay as you go £25 a session. Book up to 7 days ahead. A booked session is charged if missed.
• Leaving: give notice in writing, through the parent portal or by email to accounts@player-ready.co.uk. Notice by the 25th stops it from the 1st of next month.
• Pauses: only for all of August (ask by 15 July) or illness lasting 4+ weeks.
• Arriving late: if your child hasn't arrived within 60 minutes of the start time, we may mark them absent and offer the place to someone else.
• Flex membership is coming soon.

Self-funded mentoring (AP)

• 1:1: cancel with 48 hours' notice and it's free. Otherwise it's charged.
• Groups: every session is charged, as the place is held for your child.
• To end a placement: 2 weeks' notice (1:1) or 4 weeks (group).

Funded mentoring (AP): your council or school pays. You're never charged unless you agree in writing.

Everyone

• Invoices come on the 1st, for last month's sessions, and are due on receipt. A card or Direct Debit saved in your portal pays automatically.
• Ways to pay: card or Direct Debit (through your portal), bank transfer, Tax-Free Childcare (eligible clubs) or childcare vouchers such as Edenred. You can also pay at the venue by card or cash, including part payments towards your next bill.
• Please book before you come. We can't guarantee a place for walk-ins.
• New terms from 1 November. November is a grace month (see 8.5).

Limitation of Liability: To the fullest extent permitted by law, Ready (ICT) Ltd shall not be liable for any indirect, incidental, special or consequential damages arising from your use of our services. Our total liability shall not exceed the amount paid by you for the relevant service.

Intellectual Property: All content on our website and in our courses, including text, images, logos, curricula and software, is owned by or licensed to Ready (ICT) Ltd. You may not reproduce, distribute or create derivative works without our written consent.

Photography & Media: We may take photographs or videos at our venues for marketing purposes. If you do not wish to be included, please inform staff at the time. For AP students, media consent is managed through individual placement agreements.

Force Majeure: We shall not be liable for any failure or delay in performing our obligations due to circumstances beyond our reasonable control, including but not limited to natural disasters, pandemics, utility failures or government actions.

Governing Law: These terms are governed by and construed in accordance with the laws of England & Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England & Wales.

Severability: If any provision of these terms is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.

Accuracy: We make every effort to ensure the information on our website is accurate and up to date. However, we do not guarantee the completeness or accuracy of any information and are not liable for any errors or omissions.

Third-Party Links: Our website may contain links to external websites. We are not responsible for the content or privacy practices of those sites.

Availability: We do not guarantee that our website will be available at all times. We may suspend or withdraw the website without notice.

We reserve the right to update these terms at any time. Continued use of our services after changes are published constitutes acceptance of the updated terms.
