Terms & Conditions for Ready (ICT) Ltd trading as Player Ready

Cancellation Policy

General Guidelines:

  1. Cancellations or amendments can be made via Email, Live Chat on our website player-ready.co.uk, or Telephone (including Voicemail).
  2. Contact us at enquiries@player-ready.co.uk for all branches.

Small Groups (Under £100 or up to 4 players):

  • Full refund or Gift Card credit for cancellations made at least 48 hours before the activity start date/time.
  • Gift Card issued for cancellations less than 48 hours before the activity.
  • Cancellations with less than 24 hours’ notice are subject to Head Office discretion.
  • Same day cancellations generally do not receive a refund, except under exceptional circumstances approved by Head Office.
  • Partial cancellations (e.g., fewer players or shorter bookings) follow the same policy.

Large Groups and Parties (Over £100 or more than 5 players):

  • Full cash refund or Gift Card for cancellations more than 14 days in advance.
  • Deposits converted to Gift Card for cancellations with less than 7 days’ notice; no cash refunds.
  • For fully paid balances, the refund will be issued as a Gift Card.
  • Customers may request the difference between the full balance and deposit as a refund to their payment method. The deposit remains on the Gift Card.
  • The formula for calculating this amount: [full balance minus deposit (minimum 25%)].
  • All Gift Cards are valid for 12 months and can be used in-store or online.
  • No refunds for bookings canceled without notice.

Cancellation by Player Ready:

  • Full refund, rebooking option, or Gift Card for cancellations due to significant delays (over 90 mins), schedule changes, or force majeure events.
  • Partial refunds for partially delivered activities (e.g., a 50% refund for a party interrupted after half its duration).

Refund Processing:

  • Refunds typically processed to the same payment method used for booking.
  • Refunds initiated via Stripe/Square may take 5-14 days to appear in your bank account.
  • For cash payments, refunds are subject to store cash availability and may require an appointment.

Complaints and Feedback:

  • Complaints and feedback can be addressed to feedback@player-ready.co.uk.
  • Refunds or compensation for negative experiences are capped at the original booking amount.

Your Rights:

  • These policies do not affect your statutory rights.

Social Media and Photography/Video Release:

  • By entering our venues, you grant us the right to use media captured of you for promotional purposes.
  • Opt-out by informing our staff upon arrival, though incidental inclusion cannot be guaranteed.
  • This authorization is continuous and can be rescinded by you.

Waivers:

  • All participants must sign a waiver during the booking process, online in advance or on arrival at the venue.
  • Failure to sign the waiver will prevent participation but is not grounds for a refund unless within the standard cancellation period.
